Competition Management with Hy-Tek and SportSystems Support
Export gala entries, import results, and automatically track PBs. Swimly works with the file formats UK swimming already uses — Hy-Tek HY3 and SportSystems — so your competition secretary doesn't need to learn anything new.
Kent County Championships 2026
15-16 March · Medway Park
Sound familiar?
Your competition secretary spends hours before every gala manually typing swimmer details into entry spreadsheets. After the meet, someone has to cross-reference results against the club's records to check for PBs. Times get recorded in one spreadsheet, entries in another, and half the squad's personal bests are out of date.
Meanwhile, the meet promoter sends you a Hy-Tek file and nobody's quite sure what to do with it.
Swimly handles all of this. Import, export, and track — using the file formats your county and regional meets already use.

How it works
Create the competition
Add the gala details — name, date, venue, and type (open meet, county champs, club gala). Set entry deadlines and qualifying standards if needed.
Select swimmers and events
Pick which swimmers are entering which events. Entry times are pulled automatically from their latest PBs. Coaches can review and adjust before submission.
Export and submit
Export a Hy-Tek HY3 or SportSystems file and send it to the meet promoter. No retyping, no copy-pasting from spreadsheets, no formatting errors.
Import results after the meet
Upload the results file. Swimly auto-detects the format, matches swimmers, flags PBs, and updates your club records. Preview everything before committing.
Built for volunteer competition secretaries
Being a comp sec is one of the most time-consuming volunteer roles in a swimming club. Between tracking qualifying times, managing entries, chasing parents for confirmations, and updating PBs after every meet — it can eat up entire evenings.
Swimly automates the mechanical parts so you can focus on the decisions that actually need a human: which swimmers should enter, which events to prioritise, and how to develop your squad's competition programme.
You don't need to be technical. If you can attach a file to an email, you can use Swimly's competition tools.
Frequently asked questions
What is a Hy-Tek HY3 file?
HY3 is a file format created by Hy-Tek Sports Software. It's the standard way swimming clubs exchange entry and results data with meet promoters in the UK. If your county or regional meet uses Hy-Tek Meet Manager, they'll expect entries in this format.
Do I need Hy-Tek Team Manager installed?
No. Swimly generates and reads HY3 files natively. You don't need to buy or install any Hy-Tek software. Swimly replaces the need for Team Manager entirely for entry and results management.
What about meets that use SportSystems?
Swimly supports SportSystems CSV files as well. Between Hy-Tek and SportSystems, you're covered for roughly 90% of UK swimming competitions. The system auto-detects which format you're working with.
How does PB tracking work?
When you import results from a competition, Swimly automatically compares each time against the swimmer's existing personal best for that event and distance. If it's a new PB, it's flagged and recorded. Coaches and parents can see PB history in the swimmer's profile.
Can I preview results before importing?
Yes. Swimly has a preview mode that parses the file, validates the data, and shows you exactly what will be imported — including which swimmers were matched and any potential PBs — before anything is saved to your database.
Does Swimly integrate with Swim England rankings?
We're working towards Swim England API integration. In the meantime, you can import times and rankings from Swim England's Club Personnel Report (CSV export) or from competition result files. Your swimmers' SE numbers are stored and used for matching across all imports.
