This policy explains what personal data we collect through swimly.uk, why we collect it, and what your rights are. We have written it in plain English because that is how we would want it explained to us.
Who we are
Swimly is club management software for UK swimming clubs, operated from the United Kingdom. For anything related to your personal data, contact us at hello@swimly.uk. For data collected through this website, Swimly is the data controller.
What we collect and why
Waitlist signups
If you join the waitlist, we store your email address so we can contact you about Swimly launch updates and the founding clubs programme. That is the only thing we use it for. The lawful basis is your consent, and you can withdraw it at any time by emailing us or using the unsubscribe link in any email we send.
Contact form enquiries
If you use the contact form, we receive the details you enter: your name, email address, club name, role, and message. We use them to respond to your enquiry and for nothing else. The lawful basis is our legitimate interest in answering the people who write to us. The form is delivered to our inbox by FormSubmit, which acts as a processor for this purpose.
Analytics
We use Google Analytics to understand which pages are useful, and only if you accept analytics cookies in the banner. If you decline, Google Analytics does not load and no analytics cookies are set. The lawful basis is your consent. See the cookies section below for how to change your choice.
Club directory
Our club directory lists UK swimming clubs using publicly available information such as club names, locations, and websites. It does not contain personal data about club members. If you represent a club and want your listing corrected or removed, email us and we will sort it.
Who we share data with
We never sell your data. We share it only with the service providers that make this website work: our hosting providers, FormSubmit (contact form delivery), and Google Analytics (analytics, only with your consent). Each acts under terms that restrict what they can do with it.
How long we keep it
Waitlist emails are kept until you unsubscribe or until launch communications are complete, after which the list is deleted. Contact enquiries are kept for as long as needed to deal with your enquiry and any follow-up, then deleted.
Your rights
Under UK GDPR you have the right to access the personal data we hold about you, to correct it, to have it deleted, to restrict or object to how we use it, and to receive a copy in a portable format. Email hello@swimly.uk and we will respond within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
If we change this policy we will update this page and the date at the top. If a change meaningfully affects how we use your data, we will tell you by email before it takes effect.
