Club Organiser
Club Organiser is a cloud-based option that positions itself as the budget-friendly alternative.
Pricing: £24.95 per month (£299.40 per year). A more expensive tier at approximately £40 per month includes a club website.
What’s included: Member management, online payments, event management, communications. Cloud-based, so accessible from any device.
What to budget: £300-480 per year depending on whether you need the website feature.
Worth knowing: The pricing is transparent and published on their website. No hidden modules or add-ons.
Swim Manager
Swim Manager has been in the UK market for some time and recently migrated to swimmanager.co.uk.
Pricing: Contact only. You need to book a demo to find out what it costs.
What’s included: Member management, swim school management, competition tools, mobile app with offline functionality, British Swimming Rankings integration. Swim England API approved.
What to budget: Difficult to say without published pricing. Based on the feature set and market positioning, likely comparable to or above SwimClub Manager.
Worth knowing: The “contact for pricing” approach can be frustrating for volunteer committees who just want to know what something costs before committing to a sales call. But the feature set is comprehensive, particularly the offline mobile capability for poolside use.
Swimly

What Committees Actually Need to Budget For
Beyond the software cost, there are a few things that catch committees out:
Migration time. Switching from spreadsheets or another system takes time. Someone on your committee will need to prepare your data, map it across, and test everything. Budget 2-4 evenings of volunteer time for a club of 100-200 members.
Parent adoption. Any new system needs parents to actually use it. That means clear communications, probably a demo session at the pool, and patience while people register and set up payments. Budget a month for full adoption.
Training. Most cloud-based tools are fairly intuitive, but your committee needs to feel confident. Allow for 1-2 hours of training for each committee role (Treasurer, Membership Secretary, etc.).
Ongoing support. What happens when something goes wrong at 9pm on a Sunday and the Treasurer can’t run the direct debits? Check what support each provider offers and when.
