Club Organiser is one of the more established names in UK sports club management software. If your committee has been researching alternatives to spreadsheets, it has probably come up in your search. But how well does it actually work for swimming clubs specifically?

I have spent time looking at Club Organiser from the perspective of a swim parent and committee volunteer. Here is what I found, who it suits best, and where it falls short for swimming-specific needs.

What is Club Organiser?

Club Organiser is a web-based club management platform built for UK sports clubs across multiple disciplines. It handles membership records, communications, event management, and basic financial tracking. Swimming clubs can use its sports-specific features including time conversion, personal best tracking, and compatibility with Hy-Tek and SportSystems file formats.

The platform has been around for some years, and its feature set reflects that maturity. It covers the basics well and includes a hosted club website as part of the package.

Club Organiser pricing breakdown

Club Organiser costs £24.95 per month for the core software, or £40 per month if you want a hosted club website included. That works out to roughly £300 or £480 per year depending on which package you choose.

There are additional costs to be aware of:

  • SMS messages: 8p each, which adds up quickly if your club relies on text notifications for training cancellations or gala reminders
  • Email limits: 3,500 emails per month included, with charges above that threshold
  • Setup: No published setup fee, but configuration time is a hidden cost since the platform serves multiple sports and needs manual setup for swimming-specific structures

For a club of 100 members sending regular communications, the true annual cost is likely closer to £400-550 once SMS and email overages are factored in.

What Club Organiser does well

Multi-sport support. If your organisation runs swimming alongside water polo, triathlon, or other aquatic disciplines under one umbrella, Club Organiser handles multiple sports within a single account. This is genuinely useful for multi-section clubs.

Hosted website included. The £40/month package includes a basic club website. For committees who do not want to manage a separate website, this removes one task from the to-do list.

Time conversion and PB tracking. Club Organiser understands swimming times, can convert between short course and long course, and maintains personal best records. These are table-stakes features for swimming software, but not all generic platforms offer them.

File format compatibility. Support for Hy-Tek (.hy3) and SportSystems file formats means your competition secretary can import and export meet data without manual re-entry.

Established track record. Club Organiser has been serving UK clubs for years. There is a reasonable amount of institutional knowledge and the platform is unlikely to disappear overnight.

Where Club Organiser falls short for swimming clubs

It is not swimming-specific. This is the fundamental limitation. Club Organiser serves football clubs, rugby clubs, athletics clubs, and many other sports. The swimming features exist, but they are additions to a generic platform rather than the foundation of the product. This means workflows do not follow the natural rhythm of a swimming club season: trials, squad allocation, term-based billing, gala entries, county qualifiers.

No automated Direct Debit collection. Club Organiser does not offer built-in automated payment collection. Treasurers still need to manage standing orders or use a separate payment provider. For most swimming club treasurers, chasing failed payments is the single biggest time drain. A platform that does not solve this problem is leaving the hardest part of the job untouched.

Mobile experience is limited. Swimming clubs use their software poolside. Coaches take attendance on phones at 5:30am with wet hands and patchy WiFi. Club Organiser’s interface was designed for desktop use and adapted for mobile rather than built for it. This matters more in swimming than almost any other sport because the primary usage environment is a pool deck, not an office.

Manual configuration required. Because Club Organiser serves multiple sports, setting it up for swimming requires manual configuration of squad structures, session types, qualification standards, and competition workflows. A platform built specifically for swimming clubs has these pre-configured.

Communication costs add up. The per-SMS pricing model punishes clubs that rely on text notifications. Swimming clubs send a lot of last-minute communications: pool closures, training cancellations, gala call times, trial results. At 8p per message to 100 members, a single “training cancelled tonight” text costs £8. Send ten of those across a season and you have spent £80 just on notifications.

Who should consider Club Organiser?

Club Organiser is a reasonable choice if your club:

  • Runs multiple sports alongside swimming and wants one system for everything
  • Needs a hosted club website and does not want to manage one separately
  • Has a very small membership (under 50) and minimal communication needs
  • Is comfortable with manual payment management and does not mind chasing subs

Who should look elsewhere?

You should probably explore alternatives if your club:

  • Is a swimming-only club wanting software that understands your sport natively
  • Has a treasurer drowning in payment chasing and standing order reconciliation
  • Needs coaches to use the system poolside on mobile devices
  • Wants to avoid per-message communication charges
  • Values modern design and quick setup over legacy feature breadth

The bottom line

Club Organiser is a competent, established platform. It is not a bad choice for multi-sport organisations or clubs with modest needs. But for swimming clubs specifically, it is a general-purpose tool being used for a specialist job.

If your committee is spending evenings chasing payments, your coaches cannot reliably take attendance poolside, and your membership secretary is manually configuring squad structures every September, there are purpose-built alternatives that solve those problems out of the box.
